2. What data we process, why and for how long
a) Browsing data
During normal operation, our systems and hosting provider collect some technical data (IP address, browser type, requested pages, date and time). It is used only to run the site and keep it secure. Legal basis: legitimate interest (Art. 6(1)(f) GDPR). Retention: only as long as strictly necessary for security purposes, unless needed to investigate crimes or abuse.
b) Uploaded or recorded sounds
When you upload or record a sound we process: the audio file, the date of submission, your IP address, your browser type and the record of the consent you gave (accepted text, date, time). The sound is published anonymously, without names or usernames. Please don't speak or include personal information in your recording: if your voice were recognisable, it could be personal data.
- Purposes: moderating and publishing the sound; preventing abuse and spam.
- Legal basis: your consent to publication (Art. 6(1)(a)) and acceptance of the Terms of Use (Art. 6(1)(b)); legitimate interest in the security of the service (Art. 6(1)(f)) for IP addresses and logs.
- Retention: published sounds stay online until you ask us to remove them or we remove them; rejected sounds are automatically deleted within 12 months; the log containing your IP is kept for 12 months; the proof of consent for 60 months, to demonstrate lawful processing (Art. 7(1)) and to defend ourselves in case of disputes.
c) Votes and reports
To prevent double votes and reports, when you vote or report a sound we set a random identifier (technical cookie wf_vid), which we store in our database only in hashed form. For reports we also log the IP address to prevent abuse. Legal basis: legitimate interest (Art. 6(1)(f)). Retention: votes as long as the sound is online; report logs for 12 months.
d) Contact form
If you write to us we process your name, email, topic, any sound ID, the text of your message, IP address, browser and the record that you acknowledged this policy. Purpose: replying to your request, including requests to remove a sound or to exercise your privacy rights. Legal basis: steps taken at your request (Art. 6(1)(b)) and compliance with legal obligations (Art. 6(1)(c)) for privacy requests. Retention: messages 24 months; proof of consent 60 months.
e) Cookie consent register
When you make a choice in the cookie banner we record: an anonymous consent ID (also stored in the wf_consent cookie on your device), the categories you accepted or refused, the policy version, date and time, the page, your browser and your anonymised IP address (last block set to zero). Legal basis: obligation to demonstrate consent (Arts. 6(1)(c) and 7(1) GDPR). Retention: 24 months.
f) Statistics and cookies
We use the StatMonitor tool (presenze.com) to measure traffic in aggregate form and, only with your consent, any third-party statistics and marketing tools. Full details are in the Cookie Policy.
3. Is providing data mandatory?
Browsing requires no data. Providing the data described in points b) and d) is optional, but without it you cannot upload sounds or receive a reply.
4. Recipients
Data is processed by authorised staff of the controller and by providers acting as processors (Art. 28 GDPR): hosting provider, email services and technical support. Approved sounds are published and can therefore be heard by anyone visiting the site, always anonymously. Third-party providers listed in the Cookie Policy process data as independent controllers or processors. Data may be disclosed to authorities where required by law. We do not sell personal data.
5. Transfers outside the European Economic Area
The controller does not directly transfer data outside the EEA. Some third-party services that may be enabled with your consent (e.g. Google, Meta) may transfer data to the United States: in that case the transfer is based on the EU-U.S. Data Privacy Framework adequacy decision or on the European Commission's Standard Contractual Clauses.
6. Minors
Uploading and recording sounds is reserved for people aged 16 or over. If you believe a minor has provided us with data, contact us and we will delete it.
7. Your rights
At any time you can ask for access to your data, rectification, erasure, restriction of processing, data portability, and you can object to processing based on legitimate interest (Arts. 15-22 GDPR). You can withdraw your consent at any time without affecting the lawfulness of prior processing: for cookies use the button at the bottom right; for sounds, ask for removal quoting the sound ID. We reply within one month. To exercise your rights write to webvisionsrl@gmail.com or use the Contact page.
You also have the right to lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it) or with the supervisory authority of your country of residence.
8. Automated decision-making
We do not carry out automated decision-making or profiling within the meaning of Art. 22 GDPR. Sounds are moderated by humans.
9. Security
We adopt appropriate technical and organisational measures: encrypted HTTPS connection, password-protected administration area, anonymisation or hashing of data where possible, automatic deletion of data when retention periods expire.
10. Changes
This policy may be updated. The date of the last change is shown at the top; if we make significant changes to cookies we will ask for your consent again.
